Privacy Policy
Last Updated: 9 Sep 2026
1. Introduction
This Privacy Policy explains how ScaleProfiles ("we", "us") collects, uses, shares, and protects personal information when you visit scaleprofiles.com or submit an order enquiry through the site. It applies to this website only. It does not cover any third-party site you reach through a link here.
By using the site you agree to the practices described in this policy. If you do not agree, please do not use the site or submit an enquiry.
2. Information We Collect
2.1 Information You Give Us
When you build an order on the site and submit it, we collect the details you enter into that form:
- Name (required)
- Email address (required)
- Company name (optional)
- Order details — the profile preferences you select, including gender preference, target locations, and number of profiles, together with the pricing those selections produce
- Free-text notes — anything you choose to write in the optional notes field, such as target market, industry, or region focus
Please do not enter sensitive personal information, credentials, or confidential client data into the notes field. We only need enough context to match you to the right profiles.
If you contact us by email, we receive your email address and whatever you include in your message.
2.2 Information Collected Automatically
Our hosting provider records standard server logs when a page is requested, which typically include IP address, browser and device type, referring page, the pages requested, and the date and time of the request. We use these for security, abuse prevention, and diagnosing technical problems.
2.3 Cookies and Browser Storage
This site does not set advertising cookies and does not sell or share data with advertising networks.
The site stores a single value in your browser's local storage to remember that you dismissed the cookie notice, so it is not shown to you again. It contains no personal information and is readable only by this site. Clearing your browser storage removes it.
Site fonts are served by Google Fonts. When your browser loads them, your IP address is visible to Google as part of that request. See Google's privacy policy for how they handle it.
3. How We Use Your Information
We use the information described above to:
- Respond to your enquiry and follow up about your order
- Match you to suitable profiles and confirm the match with you before anything goes live
- Provide, operate, and support the service you have asked about
- Arrange billing and keep records of transactions
- Send you service-related messages about your order or account
- Maintain the security and integrity of the site and investigate misuse
- Comply with legal obligations and enforce our terms
We do not use your information for automated decision-making that produces legal or similarly significant effects.
4. Legal Bases for Processing
Where data protection law requires a legal basis, we rely on the following:
- Performance of a contract, or steps taken at your request before entering one — handling your order enquiry and delivering the service
- Legitimate interests — operating and securing the site, preventing abuse, and communicating with prospective customers about the enquiry they submitted, balanced against your rights
- Consent — where you have given it, which you may withdraw at any time
- Legal obligation — where we are required to retain or disclose information by law
5. How We Share Information
We do not sell your personal information. We share it only with service providers who process it on our behalf, and only as needed to run the service:
- Hosting and site delivery — our hosting provider serves the site and runs the function that receives your order submission, and records the server logs described above
- Customer records — order enquiries are stored in a third-party database platform that we use to manage leads and orders
- Internal alerting — if an order submission fails to save, the submitted details may be sent to our internal team messaging tool so a person can follow up and the enquiry is not lost
- Font delivery — as described in section 2.3
We may also disclose information where required by law, court order, or a valid request from a public authority, or where necessary to establish, exercise, or defend legal claims, or to protect the rights, property, or safety of ScaleProfiles, our customers, or others.
If our business is involved in a merger, acquisition, or sale of assets, personal information may be transferred as part of that transaction. We will take reasonable steps to ensure it remains protected.
6. International Transfers
We operate from Singapore and use service providers that may store or process information in other countries, including the United States. Where personal information is transferred out of your jurisdiction, we take reasonable steps to ensure it remains subject to appropriate safeguards consistent with applicable law.
7. Data Retention
We keep order enquiries and related correspondence for as long as needed to respond to you, provide the service, and meet our legal, accounting, and record-keeping obligations. When information is no longer needed for those purposes, we delete it or take reasonable steps to render it no longer attributable to you. Server logs are retained for a shorter period, in line with our hosting provider's standard practice.
8. Security
We take reasonable technical and organisational measures to protect personal information against loss, misuse, and unauthorised access, disclosure, or alteration. The site is served over HTTPS and access to customer records is limited to people who need it. No method of transmission or storage is completely secure, so we cannot guarantee absolute security.
9. Your Rights
Depending on where you live, you may have some or all of the following rights over your personal information:
- Access — ask what we hold about you and receive a copy
- Correction — ask us to fix information that is inaccurate or incomplete
- Deletion — ask us to erase information, where no overriding obligation requires us to keep it
- Restriction and objection — ask us to limit how we use your information, or object to processing based on legitimate interests
- Portability — receive information you gave us in a portable format
- Withdraw consent — where processing is based on consent, withdraw it at any time without affecting processing already carried out
To exercise any of these, email admin@scaleprofiles.com. We may need to verify your identity before acting on a request, and we will respond within the time required by applicable law. If you are in the EEA or UK and believe we have not handled your information properly, you may also lodge a complaint with your local supervisory authority.
10. Children's Privacy
The site and service are intended for businesses and are not directed to anyone under 18. We do not knowingly collect personal information from children. If you believe a child has provided us with information, contact us and we will delete it.
11. Third-Party Links
The site may link to third-party websites. We are not responsible for their content or privacy practices, and this policy does not apply to them. Review the privacy policy of any site you visit.
12. Governing Law
This Privacy Policy is governed by and construed in accordance with the laws of Singapore, consistent with the governing law provisions of our Terms of Service.
13. Changes to This Policy
We may update this Privacy Policy from time to time. When we do, we will revise the "Last Updated" date at the top of this page. If a change is material, we will take reasonable steps to provide additional notice. Continued use of the site after changes take effect constitutes acceptance of the updated policy.
